Tanka Technologies Inc. (“Tanka”, “we”, “us”, or “our”) provides a cloud-based Transport Management System for fleet operators, fuel logistics companies, and transport businesses. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform, website (tanka.africa), and related services.

2. Information We Collect

2.1 Account Information

When you create an account or request a demo, we collect: full name, email address, phone number, company name, job title, and fleet size. This information is necessary to provide our services and communicate with you.

2.2 Operational Data

When you use Tanka, the platform processes data related to your fleet operations including: vehicle information (registration, make, model), trip data (routes, distances, timestamps), fuel records (loading volumes, offloading volumes, variance data), maintenance records, driver information (names, licence details, certifications), inspection and compliance records, and financial data (costs, revenue allocations).

2.3 Usage Data

We automatically collect technical data when you use our platform: IP address, browser type and version, device information, pages visited, time spent on pages, and interaction patterns. We use this data to improve the platform experience.

2.4 Location Data

Our mobile application may collect location data from driver devices with explicit consent. This data is used for trip tracking, route optimisation, and verification of delivery events. Location tracking can be disabled in device settings, though this may limit certain platform features.

3. How We Use Your Information

We use collected information to:

  • Provide, maintain, and improve the Tanka platform and its features
  • Process trip, fuel, and maintenance data to generate operational insights
  • Send compliance alerts, renewal reminders, and operational notifications
  • Communicate about your account, provide customer support, and respond to inquiries
  • Generate aggregated, anonymised industry benchmarks (never including identifiable client data)
  • Detect, prevent, and address technical issues, fraud, or security concerns
  • Comply with legal obligations, including regulatory reporting requirements

4. Data Sharing and Disclosure

We do not sell your personal or operational data. We may share information with:

  • Service Providers: Cloud hosting providers, email services, and analytics partners who process data on our behalf under strict contractual obligations
  • Within Your Organisation: Authorised users within your company account can access shared operational data according to their assigned permissions
  • Legal Requirements: When required by law, court order, or regulatory authority (including NTSA and EPRA in Kenya where applicable)
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, with prior notice to affected users

5. Data Retention

We retain your account and operational data for the duration of your active subscription plus 12 months after account closure. After this period, data is permanently deleted from our systems and backups. You may request earlier deletion by contacting us, subject to any legal retention obligations. Aggregated, anonymised data may be retained indefinitely for industry benchmarking.

6. Data Security

We implement industry-standard security measures including encryption in transit (TLS 1.3) and at rest (AES-256), access controls, regular security audits, and infrastructure monitoring. For more details, see our Data Security page.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access, correct, or delete your personal data
  • Export your operational data in a machine-readable format
  • Withdraw consent for optional data processing (such as location tracking)

8. International Data Transfers

Tanka’s infrastructure is hosted in secure cloud environments. Your data may be processed in jurisdictions outside your country of residence. Where data is transferred internationally, we ensure appropriate safeguards are in place, including standard contractual clauses and data processing agreements that meet or exceed the requirements of Kenya’s Data Protection Act (2019).

9. Cookies and Tracking

Our website uses essential cookies for authentication and session management. We use analytics cookies (which can be disabled) to understand how visitors use our website. We do not use cookies for advertising or cross-site tracking.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email to registered users and posted on our website at least 30 days before taking effect. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
